The difference between the two isn't luck. It's whether anyone did an hour of planning before the need arrived.

The five scenarios where rental is the right answer

1. The bridge. Your permanent generator is down for major repair, or you're mid-repair-vs-replace decision with lead time on the new unit. A rental holds coverage so the building is never exposed. If your facility has compliance obligations, an extended coverage gap isn't just risk, it's a finding waiting to happen.

2. Planned utility or electrical work. Switchgear service, utility-side upgrades, transformer replacement, scheduled outages where the building must keep running. This is the calmest, cheapest rental there is, because everything is planned.

4. Construction and commissioning. Site power before utility energization, or supplemental power during phased occupancy.

5. Events and seasonal peaks. Temporary loads that don't justify permanent iron.

Sizing: the part everyone gets wrong

Undersized rentals trip offline under real load; oversized rentals waste money and run unhealthily light. Getting it right takes an hour with an electrician or power provider, not a guess:

  • Inventory the actual loads you intend to carry: usually a subset of the building. Which panels? Which equipment is truly essential for the duration?
  • Respect motor starting. HVAC compressors, elevators, and pumps draw multiples of running current at start. Starting (inrush) load, not running load, frequently sets the generator size, and staggering big motor starts can meaningfully shrink the required unit.
  • Mind power factor and phase balance: three-phase loads need three-phase equipment, spec'd in both kW and kVA.
  • Plan the duty cycle. A rental carrying a building for weeks wants to run in its healthy load band, the same light-loading problems that plague oversized permanent units apply to oversized rentals.

Connection: the constraint people discover last

The generator is the easy half. Getting its power into your building safely is the half that bites:

  • Best case: your facility has a permanently installed connection point: a docking station / generator tap box with a manual transfer means, installed in advance for exactly this day. Hours to connect, minimal electrician time, no improvisation.
  • Without one: a licensed electrician makes the connection, typically at the switchgear, following code and utility isolation requirements, sometimes with permits, at crisis-season electrician availability. It's doable; it's just slower and costlier at exactly the wrong moment.

Add the site logistics while you're at it: where does the unit park (surface, clearances, security, exhaust direction, noise ordinances for extended runs), and how do cables route (distance drives cable cost and voltage drop, the closest legal parking spot matters)?

Fuel and runtime: the operating cost that dwarfs the rental rate

For any sustained run, diesel is the real spend. Plan refueling from day one: tank size, expected burn rate at your load, and who is contractually delivering fuel during your run. In regional events, fuel logistics tighten exactly when rentals surge; a rental without a fuel plan is a countdown timer. Ask, too, how the fuel showing up will be filtered/verified, a rental fed bad fuel fails like any other generator, except now it's your problem on someone else's machine.

What to have arranged BEFORE you need it

The storm-season reality: when a hurricane enters the Gulf, rental fleets across the region are spoken for within days, often on standby contracts signed months earlier. If temporary power is part of your continuity plan, the plan only works pre-arranged:
